Reservation Project Coordinator
Position Description – April 2025
 
Title:                    Reservation Project Coordinator
Reports to:         Executive Director
Job status:          Part-time, non-exempt
Location:             440 Henderson St, Grass Valley, CA 95945
Hours:                  6-9 hours weekly  (weekly schedules may fluctuate slightly)
Benefits:             Sick time accrued, cell phone reimbursement
Pay:                      $16.50 an hour (minimum wage)
 
This position is in-person and on-site, with a schedule of 9-11:30am on Mondays, Wednesdays, and Fridays. There is the possibility of hours and pay being increased in the future. 
 
About Interfaith Food Ministry (IFM)
 
Interfaith Food Ministry (IFM) has provided supplemental food in Nevada County since 1987, serving over a million seniors, families with children, and single adults who are in need of food assistance. IFM’s mission is to feed the hungry and reduce food insecurity. IFM supports the community and partner agencies with free supplemental groceries while providing educational opportunities that reduce food insecurity and provide greater awareness of health and nutrition.
 
Summary
 
IFM is looking for a part-time Reservation Project Coordinator (RPC) to join our tight-knit, passionate, and impactful team.  The RCP will work closely with staff, volunteers, interns, and IFM clients to support the operation of the Client Reservation System. Reporting to and with support from the Executive Director (ED), the RPC is responsible for various aspects of the Client Reservation System. The ideal candidate will have experience working in a food pantry setting, strong communication skills, basic knowledge of cell phone and computer use, and the ability to interact with many different types of people, including clients in need, volunteers, and colleagues. The RCP, with assistance from other staff colleagues, is expected to recruit, train, and oversee volunteers that will provide support and assistance in operating the Client Reservation System. 
 
Responsibilities include:
 
Parking Lot Check-In
• Using a daily reservation list exported from the client database system (SoxBox), check in reservation clients in the designated area of the parking lot
• Communicate with colleagues inside the building via text message (and occasionally verbally) to process the reservation client forward
• Provide directions to the clients on where to move their cars forward to the next station to complete their check-in
• Manage the line of client cars and any other traffic moving through the area
• Distribute information and flyers to clients on various topics, such as Cal Fresh resources, nutrition, and IFM updates
 
Reservation Computer Work
• Assist with work in the SoxBox database system, which is the primary tool used to manage the reservation system (training will be provided)
• Be part of the team of staff, interns, and volunteers managing the reservation system and complete tasks related to helping clients make reservations and double checking the reservations and food choices have been completed correctly
 
Other Responsibilities
• Other duties as assigned

• Proficient at managing time and working on multiple projects at once
• Able to work as a team and collaborate
• Strong attention to detail
• Computer literacy and a willingness to learn new programs and systems as needed
• Strong alignment with and commitment to IFM’s mission
 
 
Preferred Skills and Qualifications
• At least 1 years’ experience with a nonprofit program, preferably a food bank/pantry/distribution program
• Experience in working with low income families, older adults, and other vulnerable populations  
• Experience working with volunteers and collaborating with a team to accomplish a goal
• Basic computer proficiency (or willingness to learn), including file sharing and storage, Microsoft Office and Google applications
• An understanding of justice, equity, diversity, and inclusion in the food sector
 
 
Physical and Personal Requirements
• Requires being exposed to the elements in the parking lot for up to 1.5-2 hours at a time, includes mostly standing but a chair or stool can also be used. A pop-up canopy and other tools to protect against the elements, rain, sun, etc are also available as needed.
• Reliable transportation to and from IFM
• Ability to lift 20 pounds
• Have a working cell phone with text capabilities (partial phone reimbursement provided)
